Chambers EMS: Enhancing Care with $25K Saved in 6 Months

How Chambers County EMS enhanced care and saved $25K in only 6 months with ESO Inventory.

Executive summary

Chambers County EMS, an emergency medical services provider in Texas, faced a familiar challenge: tracking inventory while accounting for disposable supplies and equipment. After trying to improve the process with another provider, the team brought on ESO Inventory in spring 2022.

The agency gained full visibility into inventory and consumable processes, which meant the team could spot oversupply and items nearing expiration before they became a problem, cutting both costs and the time spent on checks.

Results

Within the first six months, the team saw $25,000 in inventory savings, alongside several other improvements.

66%
Reduction in monthly spending, from $10,000–12,000 down to $3,000–4,000
93%
Stock check accuracy
60%
Reduction in some items held on hand
  • Manual, error-prone documentation processes eliminated
  • A single source for both inventory management and reordering
  • Confidence that stations and trucks are response ready

Supervisors and administrators felt the difference too. Logistics management stopped being a day-long group effort, and team leaders could see inventory status across the department at a glance.

“With ESO, I can log in, see what’s on par, and make my orders right away. I can even switch from truck to station to main supply room easily and see all expirations across every place. We can get caught up in one spot.”

A smaller service with real constraints

With limited administrative resources, inventory management can be especially difficult and expensive for a smaller service if it is not handled well. The team needed something efficient that would not cost too much. ESO delivered on both counts, and kept adding a little back to the budget each month.

“We used to do all of our inventory through Google Sheets, which worked sometimes, but other times… it didn’t. We’d mis-key a number and it’d throw off the entire database and account.”

Why ESO

With more than 20 years of EMS experience, the agency emergency services coordinator had seen other technologies attempt to solve this problem, having tried three before finding ESO. For him, the decision came down to affordability, reliability, and workflows that did not interrupt his teams day to day.

Affordable
A smaller service with limited administrative resources needed something efficient that would not add cost.
Reliable
The hardest part of any manual inventory process is trusting that the numbers are accurate, current, and reviewed. Before ESO, leadership was not always confident in the spreadsheet, which led to mis-ordering and expired goods.
Intuitive
ESO is built by former EMS professionals, so the workflows fit into the daily routine of paramedics and leaders. When medics log in, they see apparatus readiness right away and can check whether a truck is stocked, above or below par, or holding items that are expiring.

“Compared to the three other softwares I’ve tried, ESO is the easiest to manage. It’s not as intrusive to my teams as the others have been. For us, as a smaller service, it’s been a huge asset. I can only imagine what an asset it will be for even larger services.”

What is next

Community-centered and patient-focused, the team will soon build a new 45,000 square-foot station serving as its EMS headquarters, emergency warehouse, and the new county Emergency Operations Center. Through continued growth, education, and equipment improvements, the Chambers County paramedics keep working toward better health and safety in their community. We are glad to be part of that work.
